Because of this, it is acceptable for a facility that deals with other people's codes of conduct to have straightforward employees who closely adhere to the laws and regulations. (Albert, 2008). A corporate ethics plan is essential to giving staff and clients clear guidelines about what is and is not acceptable at the workplace without the need for constant administration supervision. (John, 1991). It can also provide limpidity in action and benevolence with customers who struggle to find corporations they can trust. As a chief director, I have the obligation of planning and executing agency policy on ethics which would ensure there is correct flowing of the system.
Plans to insure ethical practices in the selected agency
Creating an ethics policy can be formidable (Comittee, 2007). Ensuring that the ethical practices are insured can be somehow difficult too. Every organization has its own rules and regulations that govern them. Failure to comply with the policies result to different forms of punishment. The policies on ethics in every company are set by the board of directors right after the company is started. A copy of the policies is submitted to the employees at a personal level. They are printed and a copy distributed to every department. However, In case of change in policies, it takes time for the employees to switch from the old to new rules. There are different reactions to the new policies. Different employees react differently. Organization can not comply with guidelines and regulations instantly. Below are some of the steps that I being the head administrator would consider so as to ensure that the ethical practices are implemented.
First, incorporate ethic principles into all aspects regarding the communication within the corporation. I would control the substructure within the existing company to validate to employees on the importance of ethical principles in the areas of decision making and operations within an organization. Assimilation of ethics and incorporation of the training materials into various sources within the delivery system of the organization such as the alignment of the new employees, the sequences of management, the sales training, business strategies and other programs of day to day activities within the organization. This will inform them of the need for complying positively and therefore give them no choice but to comply with the rules. (John, 1991)
Secondly, engagements with the existing board of directors. Engage the executives in the ethics practice by inaugurating a board ethics board or by assigning ethics on the board’s schema as a consistent item for discussion. This will help coordinate and also make them able to assist in insuring the ethical practices to their juniors. If the board of directors are aware of the ethics and are complying with them than the rest of the employees will do the same. (Kramer, 2007). It will also enable them to help instilling the rules to the employees since they are aware of how mportant the rules are.
Thirdly, explain the risk involved. Since not everyone would be easy and fast enough to comply with the ethical practices and that most of them would be reluctant, I would formulate some form of punishment to the employees and ensure that they are somehow tough in that it would scare them from misbehaving. (John, 1991) .This will make the stay in track.
Fourthly, regular review. The corporation should offer discrete assessment or some other formula of examination process to all the entities and not just the exact minorities who have a history of being stubborn. Also, I would introduce a form of reward to those who fully comply with the rules. This will encourage the employees to comply with the rules and regulations set.
Lastly, decree and pledge from top leadership. If the top is willing to coordinate and comply with the rules then the whole team is more than ready to. But if the leaders are not cooperating then the team will think the rules are not that serious therefore they won’t comply with them.
Establishment of the ethical policy
In order to establish my ethical policy, I would need the assistance of the entire board of directors and the IT team. The board will help me plan and set the policy and suggest possible ways in which the policy will be established. The best means will selected with the help of the IT team. The IT team will then draft the document as desired by the board. The document will then be posted to different departments and to individual emails. (Kramer, 2007)
Method of communication to the agency members
I would use all the means of communication available. The most basic means is via a memo. I would write a memo entailing the creation of new agency policy, its implementation, its seriousness, the date it will start functioning, the punishment to those who fail to abide by the rules and the form of reward to those who comply with it. The memo will be sent to all the departments’ through their respective heads. Then, I would use send personal mails to every employees email bearing the same content as the memo. (John, 1991) Other supplementary forms of communication are through what sap, twitter and Facebook pages of the company.
Inspection to ensure compliance
I will select a crew in charge of ensuring the employees are complying with the ethics policy. The crew will conduct personal assessment at least once a week until all the employees are in line. I would also select three of the most trusted employees to work as spies and observe how the employees are adapting to the new system, how they feel about it, any recommendations suggested and those who are totally unwilling to adjust. Also, I would host a staff meeting at least twice or thrice a week so that I can get to interact with the employees at a personal level so as to be able to identify how the compliance to the rule is fairing on, what should be added, what is done the wrong way.
Reinforcement to ensure understanding by the agency members
First of all, we as the leaders of the agency have to lead by example. If we do it the right way then the employees have no choice but to comply. Secondly, full punishment is guaranteed to those who fail to comply with the rules and regulation. The punishment should be so serious so as to instill fear to the employees. The punishment to those who fail to comply will include suspending the employees, working overtime without payment and in extreme cases will lead to firing of the employees.
Conclusion
In general, it takes a little more effort and toughness from the head administrators for the policy to be fully implemented by the whole team. This will only be possible if there is total cooperation between the staff members (Kramer, 2007). However, if done the right way with total cooperation and less drama, the agency will run smoothly in the long run hence ensuring that there is productivity at work.
